Job Description

We have a fantastic opportunity for an Admin Assistant to join our team in London. The role will be based in our newly opened DoubleTree by Hilton in Kensington'. This is a prestigious 4-Star property which we are sure will become a flagship for the DoubleTree by Hilton brand in London. 


What will I be doing?

As the Admin Assistant you will be responsible for all the administrative tasks in the hotel. You will assist the Head of Department and General Manager to ensure that we maintain consistent standards of service, ensuring guest satisfaction while creating a work environment that supports organisational values.

Your day to day

  • Supporting compliance of internal controls by working closely with operational departments and the finance team.
  • Working with the front of house team on invoicing, query management and ad hoc administration.
  • Assist rooms division and F&B department on voucher redemption, reconciliation and query management
  • Assist the management team with cash management
  • Carry out reporting and analysis that may be requested from the management team
  • Any ad hoc requirements that supports the business.
  • Supporting the smooth running of Hotel, exerting diligent process control and ensuring efficiency and resilience to growth
  • Working as part of a team that maximizes guest satisfaction and comfort, delivering a positive and timely response to enquiries.
  • Taking responsibility for the duties and tasks assigned to the role, ensuring that all work is carried out in a timely and professional manner
  • Delivering on departmental plans and objectives, where hotel initiatives & targets are achieved
  • Collaborating with their immediate report, ensuring that costs and inventory are controlled, that productivity and performance levels are
    attained
  • Building and maintaining effective working relationships whilst promoting the company culture and values.
  • Ensuring adherence and compliance to all legislation where due diligence requirements and best practice activities are planned, delivered
    and documented for internal and external audit, performing follow up as required.
  • Dealing efficiently with day to day queries and guest service queries
  • Place orders and process invoices in accordance to Heeton SOP
  • Other ad hoc duties as and when required
  • Be flexible at all times in order to cover the unexpected needs of the Hotel and outlets
  • To attend all relevant training as and when required
  • Assist Hotel Manager and Guest Service Managers with administrative duties
  • Assist with Meeting Broker enquires
  • Assist with Group bookings and management thereof
  • Managing A/R accounts and the issuing of invoices and statements
  • Take pride in your appearance and place as a brand ambassador
  • Jump into other ad hoc duties when your colleagues need your help

What we need from you

  • Ideally Hotel background
  • Be courteous and focused on providing a consistently high standard of service.
  • Must be standards driven and detail orientated.
  • Must have the ability to multitask in a fast-paced environment.
  • Have excellent self-presentation
  • Be positive, enthusiastic, and professional, innovate.
  • Good IT skill
  • Must speak fluent English.
