Job Description

Here at Jurys Inn & Leonardo Hotels Head Office Dublin we have a very rare and exciting opportunity for an Executive Personal Assistant to come and join the team. 

The role will consist of:

  • Owner (Fattal) communication and co-ordination
  • Diary and meeting co-ordination for JC/DG/SMC
  • Arrange and book travel and accommodation for all Executive team members
  • Collate, process, log and submit all expense claims for all of the Executive team members
  • Maintaining the current filing and database system, and looking for ways to improve current systems
  • Handling confidential information with discretion, and dealing with professionals inside and outside the company
  • Act as the key interface and liaison between Managing Director and a wide variety of external stakeholders
  • Produce, issue, and track all bonus plans for Management Committee, Regional Operations Managers, Area General Managers, Cluster General Managers, General Managers and Hotel Managers
  • Collate proposed and approved bonus payments for Management Committee, Regional Operations Managers, Area General Managers, Cluster General Managers, General Managers and Hotel Managers for sign off
  • Recognised conduit for communications to Exec team, Management Committee and General Manager / Hotel managers
  • Arrange courier for legal and important documents and track
  • Assist with the preparation of presentations and narrative documentation
  • In company communications sent on behalf of Executive team as needed
  • Maintenance of all distribution lists
  • Co-ordinating board meetings and meeting minutes
  • Be responsible for the overall direction and coordination of the team's administration
  • Make timely decisions using independent judgment on a regular basis
  • Other duties as requested  

What we are looking for:

  • 3+ years of senior level business administrator experience in a fast-paced environment
  • Proficiency with Microsoft software including Outlook, Word, Excel, PowerPoint and TEAMS
  • Strong organisational, planning, time management, project management, problem-solving, and anticipatory skills
  • Be able to; prioritise and juggle multiple projects at once, work independently, be self-motivated and action oriented
  • Have the ability to build effective working relationships inside and outside the group with varying levels of collaborators and accommodate working styles and perspectives of diverse individuals and groups
  • Exercises sound judgment, tact, diplomacy, and professionalism applied in all transactions, maintenance of utmost confidentiality with sensitive and personal information
  • Strong written and oral communication skills
  • A good sense of humour and ability to connect with people inside and outside the team
