Job Description

As an Events & Groups Executive, you will demonstrate exceptionally strong customer service and client based skills. You will be responsible for the day to day enquiries received into the department. You will: effectively promote all the hotel's facilities and services to achieve the maximum sales revenue and client satisfaction for each event; ensure that each booking is handled efficiently from client enquiry through to arrival and departure; complete the administration of all bookings in our property management system and communicate effectively with clients and the Operations team at the hotel ensuring the success of each event.

This role is predominantly based in Edinburgh however includes the need for travel to our other Scottish hotels in Dundee and Glasgow, as required.

REQUIREMENTS

  • Previous Event and/or Group rooms related experience is highly desirable
  • Can demonstrate good organisational skills and attention to detail
  • Excellent interpersonal and communication skills

THE ROLE

To effectively promote all the hotel's facilities to the Conference, Event and Group rooms market to achieve the maximum sales revenue and client satisfaction for each event.

  • Ensure that each enquiry and booking is handled efficiently from enquiry stage through to arrival, departure, billing and follow up.
  • To maintain an accurate status of all enquiries and bookings and to ensure that the highest standard of administration is carried out for every group enquiry and booking.
  • Enter all details into Opera, reporting on all activity conducted with each enquiry and booking
  • To be responsible for issuing contracts and paperwork, in line with Apex procedures

THE PERSON

Communication skills are essential for this role as you will be required to work closely with the Hotel operational teams as well as discussing each event with the client. To ensure the success of every event you will have a passion for delivering excellent customer service and be extremely organised. Absolute attention to detail, the ability to multi task and flexibility are required in response to changing client requests and the fast paced nature of the role.

You will be friendly and approachable; you will go the extra mile for our guests; you will provide highly consistent good service and you will lead by example.
